🛠️ Coordinators' Guide: Manual Archiving

To keep our portal fast and clean, we move completed requests to the archive at the end of every month. Please follow these steps to ensure data integrity.

Step 1: Verification

Before archiving, ensure the request has a final status:

  • ✔ Approved – Data has been sent and user notified.
  • ✘ Rejected – User has been given a reason for the rejection.

Step 2: Moving the Content

  1. Go to the Active Requests page.
  2. Cut (Ctrl+X) the completed request section.
  3. Open the relevant archive subpage (e.g., January 2026).
  4. Paste (Ctrl+V) the content under the appropriate month header.

Step 3: Update the Dashboard

Go to the Main Portal Page and update the Request Status Dashboard numbers:

  • Increase the Total Requests count.
  • Update the Approved or Rejected counts based on the final decision.

Step 4: Formatting (Optional but Recommended)

If you are moving many requests, use the table format for a cleaner look:

When reviewing a request, use this checklist to stay fair:
